Handling of Personal Information Related to Recruitment Activities

Astemo, Ltd. (hereinafter referred to as the “Company”) will handle your personal information in connection with its recruitment activities, including activities related to reemployment (hereinafter referred to as the “Activities”), as follows.

Personal information provided by you or third parties such as event organizers in the course of the Activities (including the case where a resume or other materials are submitted to the Company as a potential employer based on your request in the case of job application through a recruitment agency)
(1) Member authentication for membership websites (*) on the Internet, for example, aimed at providing information on job openings
(2) Recruitment activities aimed at the following:
- Provision of company information of the Company, information related to recruitment, etc.
- Provision of information on, acceptance of applications for, and management of, seminars, events, etc. hosted by the Company
- Application for, and implementation of, employment screening, and related administrative communication
- Sending information materials, etc. on the Company’s job openings, seminars and events
- Implementation of various kinds of questionnaires
(3) Other recruitment activities, responding to inquiries, etc.
(4) Analysis for reference in future recruitment activities (Specifically, the ratio of applicants for employment with the Company among registered members of the websites referred to in (1) above and other data will be calculated and stored in a format that does not identify individuals.)
In the course of the activities set forth in (1) through (4) above, recruitment staff may contact you by e-mail, telephone, direct mail or other means.
* Specifically, such websites include “Mid-career Recruitment,” “Alumni Registration,” “New Graduate Recruitment and Information for New Graduates” and “Career Registration for Students before Job Hunting.”
3. Provision of Personal Information for Third Parties
When providing personal information for a third party, the Company will give notice to you to obtain your consent in advance, except:
(1) where the information is provided under a law or regulation;
(2) where it is difficult to obtain your consent in the case the provision of information is necessary for the protection of a person’s life, body or property;
(3) where it is difficult to obtain your consent in the case the provision of information is particularly necessary for the improvement of public health or the promotion of sound development of children;
(4) where, in the case the Company is required to cooperate with a national agency or a local government, or a person delegated by either of the foregoing in the execution of affairs prescribed by law, obtaining your consent is likely to impede the execution of such affairs; or
(5) where personal information is provided in connection with the succession of business due to merger or any other event and is handled within the scope of the purpose of use before the succession.
You acknowledge and agree that the Company may provide your personal information to other Astemo Group companies in Japan as third parties, for example, for the purpose of employment screening and reemployment consideration.
4. Outsourcing of Handling of Personal Information
The Company may outsource the handling of your information obtained in the course of the Activities to the extent necessary for the achievement of the purpose of use. In order to receive a recruitment management system, aptitude test services, an online interview tool, recruitment services, etc., the Company may outsource the handling of personal information to recruitment support service providers within the scope of recruitment activities.
5. Measures Taken for Security Control
In order to ensure an appropriate handling of personal information as an organization, the Company has established a privacy policy as well as internal regulations such as personal information management rules and guidelines in accordance with that basic policy. Further, the Company has developed a system to check and evaluate whether internal regulations conform to laws and regulations. In addition to such development of regulations, the Company is taking specific security control measures from 4 aspects (organizational, human, physical and technical) in the actual handling of personal information.
6. Systems for Protection of Personal Information in Foreign Countries
The Company may provide personal information for a third party in a foreign country in connection with outsourcing, etc. of part of operations involving the handling of personal information. For information on the systems for the protection of personal information in the countries concerned, please refer to the website* of the Personal Information Protection Commission. When providing personal information for a third party in a foreign country, the Company will either take appropriate measures to protect your personal information for example, by concluding an agreement with the third party in the foreign country or, before such provision, provide you with the name of the foreign country where the third party is located, information on the system for the protection of personal information in the foreign country and information on other matters required by law, and obtain your consent.

7. Contact for Requests for Disclosure, etc. of Retained Personal Data, etc. and Inquiries
You may request disclosure of your personal information that you have provided in connection with the Activities and, as a result of such disclosure, may also request erasure or correction of, or make a complaint, etc. about, your personal information.

8. Voluntary Nature of Your Provision of Personal Information and Consequences of No Provision
Your provision of personal information related to the Activities is voluntary; provided, however, that no provision of certain personal information by you may bring you a disadvantage in the employment screening, etc. Please understand this point in advance.
9. Information Obtained by Methods Not Easily Perceptible by You
Some of the websites related to the Activities use cookies*1 and web beacons (clear GIFs)*2 to help you to more conveniently use those websites.
